Privacy Policy

Almare LLC ("Almare", "we", "us") operates this website and a workflow platform used by home care, home health, and recovery-home businesses (each a "care business"). This policy describes what we collect, how we use it, and the choices you have.

1. Two roles we play

  • For this website (contact forms, bookings, blog), we decide how information is used — we act as the data controller.
  • For the platform, each care business controls its own workspace and its applicants', employees', and users' records; we process that information on the care business's behalf and under its instructions. Questions about a specific record should go to that care business first.

2. Information we collect

  • Account information: name, email address, phone number, role, and sign-in activity for invited platform users.
  • Application and employment records: information an applicant or employee submits or a care business enters — contact details, ZIP code, availability, references, screening answers, documents, signatures, training records, leave and scheduling data.
  • Messages and notifications: in-system message threads and the email/SMS notifications generated by workflow events.
  • Technical data: IP address, browser and device details, and audit logs of actions taken in the system, kept for security and accountability.

3. How we use information

  • To run the workflows the care business configures — onboarding, hiring, compliance tracking, training, scheduling, and leave.
  • To send the transactional email and text notifications those workflows generate (see the SMS & Text Notification Policy).
  • To secure the service: authentication, multi-factor auth, session limits, IP allow-lists, and append-only audit trails.
  • To respond to inquiries and provide support.

We do not sell personal information, and we do not use platform records for advertising.

4. Where information lives

The platform runs on vetted infrastructure providers: Vercel (hosting), Supabase (database and authentication), and Resend (transactional email). Data is encrypted in transit, and every tenant's records are isolated with database-enforced row-level security so one care business can never read another's data.

5. Health information

The current platform modules manage workforce and compliance records, not patient charts. Clinical documentation features ship only under a signed Business Associate Agreement (BAA) with the care business, and we design to HIPAA safeguards throughout.

6. Retention and deletion

Platform records are retained for as long as the care business keeps them, plus any period required by law (employment-file rules often require multi-year retention). Care businesses can correct or remove records in their workspace; backups age out on a rolling schedule.

7. Your choices

  • Opt out of text messages at any time (reply STOP, or see the SMS policy).
  • Ask the care business that holds your record to access, correct, or delete it.

8. Changes and contact
